In this article we will walk you through how to initiate the medication process by using the system to create and digitally transmit prescriptions to the pharmacy.
To create an e-script, navigate to the patient file and select Medication Script on the horizontal menu. Then navigate to New HW Script on the far right.
This screen will also show you all current and historic medication scripts for this patient
In the screen that opens, first choose the start date for the prescription.
From there, in the Product Name field, type the name of the medication. As you type, a list of options will appear.
If the patient has any recorded medical allergies, a warning will appear on the top left, highlighted in red.
Once you have added the first product, complete the prescribing information:
- Additional Instructions (e.g. Take with food or Avoid dairy products)
- Dose Amount
- Frequency (e.g., daily, twice daily)
- Duration (days, weeks).
- Route
To change the dosage unit type, click on the unit label. It will cycle through the available options. The final option will allow you to enter a custom unit.
After entering the product’s prescribing information, you can add the following options and details to your script:
- STAT, this flags your prescription as urgent with the pharmacy and/or the nurses
- Refer to Blueboard Reminder, alerts nurses to check the patient’s prescription chart to ensure that medications not yet managed in HealthWare are administered, such as insulin sliding scales or medication mixtures.
- Hold for Vitals, allows you to define clinical conditions under which the dose should not be administered, for example, when vitals are outside safe ranges.
- Prompt Me To Renew, will create a reminder to repeat the script
When done, select Add.
The medication you added will now appear in the grid below.
To add additional medications to the script, simply repeat the process.
To remove a line item, click the bin icon on the right.
At the bottom of the screen, you’ll find a shared Internal Comments section. This space allows doctors and pharmacists to communicate about the entire script.
Once all required medication has been added to the script, the prescription must be printed and physically signed to meet legislative requirements.
When prescribing high-risk or controlled medications, the system automatically highlights these drugs by changing the font color to red (e.g., for Schedule 5, 6, and 7 drugs).
For these medications, the system will prompt you to print and sign the script, by selecting the Print Script button located at the bottom left of the screen. The doctor signs this printed script and the physical copy should then be handed to the pharmacist for filing to meet regulatory requirements.
When ready, click Issue New Prescription located on the bottom right of the screen.
The script will be added to the Healthware system with the status, New Script.
Once a new prescription has been successfully issued, additional script management options become available. These can be accessed via the vertical three-dot menu (⋮) under the Actions column for any item linked to the issued script.
The available options are:
- Repeat Script
- Print Original Script
Selecting Repeat Script will open the same screen used for creating a New HW Script. However, the screen will already be pre-populated with the items included in the script you have chosen to repeat.
From here, you can adjust the Frequency and Duration of the repeating medication as required by clicking directly into the relevant columns. You also have the ability to add new drugs to the script before issuing it.
Selecting Print Original Script will open a preview of the original prescription as issued by the doctor, with the option to print a copy of the script.
The doctor’s details displayed on the printed prescription are sourced from the Billing Practice linked to the doctor’s user profile.
A notification prompting script renewal will appear as an orange notification bubble next to All Scripts on the main menu, indicating scripts that require renewal.
Clicking Renew will redirect you to the patient medication screen, where you can select Action and then choose the Repeat Script option.
Selecting Cancel will remove the notification.
If you have selected Renew and the patient medication screen has opened, navigate to the Action column and select Renew Script.
You will also be able to view what requires renewal, along with the relevant timing, in the Renewal column.
Additional: To view a patient’s allergies, navigate to the patient file and select Clinical Assessment from the horizontal menu. From there, select Medical Assessment from the option below.
To add or update a patient’s allergies, select Edit Arrival Assessment in the top right of the screen. Once you have made the necessary changes, click Stop Editing to save your updates.
Then scroll to the bottom of the page where the allergies are displayed in the second-to-last field.
