In this article we will walk you through the Guest Authorized Viewer user role feature.
This user role is designed for external parties who request access to a patient’s file, with the patient’s explicit permission. Access is read-only and limited to the specific patients they are approved to view and can only be created by a Super Admin user. This user can be used for the Discovery Health Co-Ordinator, they can be granted access to only their patients.
To create a guest user, navigate to the settings icon in the top-right corner of the screen, then from the left-hand menu, select Create User.
Before entering any of the user’s details, select the Role as Guest Authorized Viewer. Once this is set, the username and password are automatically generated.
Once the role has been set, add the user’s first name, surname, and email address. The email address is essential, as login credentials are sent via email.
You can then select the facilities the user will have access to.
When all details have been entered, click Create User in the bottom-right corner of the page
The system generated password will be sent to the email address captured in the guest users profile.
For cybersecurity reasons, the email containing the username and URL link is sent to the saved email address of the user who creates the guest user. This information should then be shared directly with the guest user.
To link patients to the guest user, open their user profile, select Settings from the horizontal menu.
Click Edit Settings
Under the Guest Authorized Viewer Settings section, navigate to the Select Facility field and choose the facility where the patient is admitted. Please note that only a single facility can be selected at a time.
Next, in the following field, select the patients you would like to grant access to.
As you select each patient, they will appear in the section above the search field.
Remember to upload the patient’s consent confirming permission to share their file.
Once all selections have been made, click Save Settings in the bottom-right corner of the page.
To remove a patient, click the × icon in the top-right corner of the patient’s name to remove them from the list.
Once complete, select Save Settings in the bottom-right corner of the page.
When the Guest Viewer logs into HealthWare they will have access to the list on patients they've been allocated, as view only, the Arrival Status and Location of the patient will also be displayed for ease of reference.
They will also have access to the General Notes panel and are able to access any reports added or uploaded here.
