In this article we will walk you through the process of creating and managing patient tags
Tags are used to categorise patients by applying specific labels or identifiers. Each facility can manage and customise its own tags. The designated Facility Admin has permission to create new tags, while HealthWare also provides a standard set of default tags.
To create a tag, click the settings icon in the top right corner of your screen. From the left-hand menu, select Tags, then click Add Tag.
In the form that appears, enter your tag name in the Label field, then choose a Rule Type for the tag, Rule Types are not compulsory and can be left blank if not required. The available rule types are:
- Food Allergies
- Medication Allergies
- Patient Trigger
- Risk Alert
- Team Colour
Next, select the facilities the tag should apply to, then enter a hex code to determine the colour in which the tag will be displayed. Once complete, click Add Tag.

To deactivate a tag, click the red Pause icon in the Actions column on the right-hand side of the Tags screen.
To assign a tag to a patient, double-click in the Tags column for that patient and select the appropriate tags from the dropdown menu. Any changes made, whether adding or removing tags, will automatically update across all screens.
Multiple tags can be assigned to a patient and are visible across the following screens in the Tags column:
- Arrival
- Admitted
- Extensions
- Billing
- Facility Rounds
- All Scripts
Patients can also be filtered based on their assigned tags.
Additionally, Risk Alert, Medication Allergy, and Patient Trigger tags assigned to a patient are displayed next to the patient’s name in the patient file, along with an icon indicating the tag’s rule type.
